Kirana & marts

For the kirana: quick bills, honest udharo, nothing past its date.

Sugar by the kilo, noodles by the packet or the carton, eggs by the piece — tap, bill, next customer. Accura keeps the udharo khata, the expiry dates and the VAT for you.

Screens and figures show a sample shop.

How a kirana day flows in Accura

From the distributor’s van to the cash count at night.

A sample day at Thapa Kirana Pasal in Banepa, the week before Dashain — what happens at the shutter, and what Accura writes down for you at each step.

  1. Morning · the distributor’s van

Stock comes in, with batch and expiry

Bhat-Bhateni Wholesale drops biscuits, noodles and oil for the Dashain rush. Copy their bill once: rates, their PAN and VAT — and for packets that go off, the batch number and the expiry date.

    In Accura: Purchase

Keeps the supplier’s bill number and each line’s batch + expiry; input VAT counts only with the supplier’s PAN.

    • Batch + expiry
    • Purchase book · input VAT

  2. All day · the counter

Tap, scan — or “Rs 50 of sugar”

Loose sugar, rice and dal sit on quick-tap tiles; packets are scanned. Someone asks for fifty rupees’ worth of sugar: type 50 and it becomes 0.402 kg, VAT included.

    In Accura: Counter sale

Prints the bill with its IRD number and the BS date. Cash goes to the drawer, QR (Fonepay, eSewa, Khalti) to the bank ledger it lands in.

  3. The regulars

Udharo for the families you know

Sharmila didi from Ward 5 takes the month’s rice and oil on credit. Pick her name and the bill goes on her khata — bill by bill, with a due date. Past her limit, the counter stops the bill.

In Accura: Counter sale → Credit (udharo)

Adds the bill to her account; refuses one that crosses her credit limit, so nobody has to say no at the counter.

  4. Month end

A polite reminder — from your own phone

Open her account and tap Send reminder: a message in Nepali with what is due and her oldest bill’s BS date, ready for WhatsApp or Viber. You press send — the app never messages anyone by itself. When she pays, the receipt settles her oldest bills first.

In Accura: Customers → Send reminder · Receipt

Writes the message from her real balance; the receipt takes her udharo down, bill by bill.

  5. Afternoon

Expiring soon — sell it first

Glucose biscuits with four days left go to the front of the shelf. Nobody types a batch at the counter: the oldest expiry is counted as sold first, so the list stays right. A crushed carton is thrown out with its reason.

    In Accura: Expiring soon

Lists the batches expiring in 7, 30 or 90 days with what they cost you; a write-off takes them out of stock.

  6. Night · shutter down

Close the day, note by note

Count the drawer — thousands, five hundreds, hundreds, down to the coins. Accura already knows what should be there from the day’s cash bills and receipts.

    In Accura: Close the day

Compares the count with the books; a short or extra amount is posted to Cash Short & Excess with your remark.

  7. Before the next order

What to order — sent on WhatsApp

Dal and sugar under their reorder level come grouped under the distributor you last bought from, eggs under the poultry farm. Change a number and send the list from your phone, or print it.

    In Accura: What to order

Suggests how much from what is left and how fast it sold in the last 30 or 60 days.

  8. By the 25th · for your accountant

VAT, the IRD books and the P&L — already there

The sales and purchase books by BS month, the VAT to pay by the 25th, and a Profit & Loss with stock at cost. Switch on Simple mode and the accounting menus hide from the counter.

Alongside the day

  • Stock up before Dashain and Tihar

Analytics shows each item’s sales by BS month, against last year — and what to stock up on before its busy months.

  • Internet gone? Keep billing

A registered counter PC keeps billing on its own number series and sends the bills when the line is back.

  • Your helpers’ salary

A monthly pay sheet by BS month — days absent, advances, SSF and TDS — hidden from the counter.

  • Your item list from Excel

Bring items, customers and suppliers in from an Excel sheet on day one — headings in English or Nepali, with a preview first.

Expiry, without the guesswork

  • Label old shelf stock with its batch and expiry once — no stock moves.
  • Throw out an expired batch: it leaves stock, with the reason, on record.
