Wholesale & distributors

For wholesalers: from quotation to challan to bill — inside the credit limit.

Retailers buy by the carton and pay in instalments. Accura keeps the paperwork in order — price levels, quotation, order, challans, bill — and the credit limit in force, across branches and godowns.

Figures show a sample distributor.

How an order flows in Accura

One retailer’s Dashain order, from the first price to the last rupee.

A sample order at Sharma Traders & Distributors, Kalimati — the sales desk, the godown, the counter and the books.

  1. A retailer asks

A quotation at his price level

Bhattarai Kirana Store in Naikap wants 120 cartons of Wai Wai, 100 boxes of sunflower oil and 10 bags of sugar before Dashain. His wholesale rate fills in by itself.

In Accura: Orders → New quotation

A numbered quotation — nothing moves in stock or the books yet.

    • Nothing in the books yet
  2. Confirmed

    The quotation becomes an order

One click. From then on the order shows what has gone out and what is still to deliver, line by line.

    In Accura: Sales order

Progress is worked out from the challans — never typed.

    • Nothing in the books yet
  3. The godown

    Challans, load by load

The order goes out in van loads. Each delivery challan takes goods out of the godown — never more than is still pending — and prints without prices for the shop to sign.

In Accura: Order → Send goods (challan)

Goods leave the godown; they are counted as “with the customer, not billed”.

    • Stock moved — not sold yet
  4. Billing

    Challans become one bill

At the order’s prices, with the same VAT, IRD numbering and credit limit as any bill. Rs 15 lakh limit, 45 days: a bill that would cross it is stopped.

In Accura: Challan → Bill it

Sales book, VAT 13 % and his udharo, bill by bill.

    • Stock out
    • Sales book · VAT 13 %
    • Udharo +
    • Credit limit checked
  5. Collection

    Cheques against the oldest bills

His cheque settles the oldest bills first and waits until the bank clears it.

    In Accura: Cheques · Receipt

Receipts set against bills; a bounced cheque goes back on him.

  6. Every week

    Ageing for every retailer

Not due, 0–30, 31–60, 61–90, 90+ days — and what you owe each supplier, the same way. A reminder goes from your own phone.

  7. Buying

    Supplier bills at landed cost

CG Foods’ bill with Rs 6,500 freight: the freight goes into each carton’s cost, so your margin is the real one.
