Hardware & paints

For hardware shops: cement by the bag, contractors on credit, books that hold.

From a single counter in Kalanki to a wholesaler with branches and godowns: scan and bill in seconds, keep the contractors’ udharo with a limit, know what is in the godown, and hand your accountant books they already understand.

Screens and figures show a sample shop, Shrestha Hardware & Suppliers, Kalanki.

How a contractor’s order flows in Accura

From “what’s your rate?” to the cheque that clears.

A sample order at Shrestha Hardware & Suppliers in Kalanki: a builder’s site in Bhaisepati, rods and cement by the truck, a cheque at the month end — and what Accura records at each step.

  1. A contractor calls

A quotation at his contractor rate

Lama Housing wants 16 mm and 12 mm TMT, OPC cement and CGI sheets for a site. Pick the customer and his contractor rate fills in, with what he paid last time under each line.

In Accura: Orders → New quotation

A numbered quotation with your prices — nothing moves in stock or in the books yet.

    • Nothing in the books yet
  2. Confirmed

    Sales order, and an advance

One click turns the quotation into a sales order. Take an advance that names the order — it waits on his account until the bill.

In Accura: Order → Take advance

The order tracks what is delivered and pending, line by line; the advance is a receipt on his account.

    • Advance on account
    • Bank / QR
  3. The godown

    A challan for every truck

Each load leaves the godown on a delivery challan — vehicle number, driver, no prices, and a “received in good order” line for the site to sign. Never more than the order still has pending.

In Accura: Order → Send goods (challan)

Moves the goods out of the godown to “with customers, not billed” — counted, but not sold yet.

    • Stock moved — not sold yet
  4. The counter

    Bill the challans once

Delivered loads become one VAT bill at the order’s prices, with the same IRD numbering, BS date and credit-limit check as any counter bill. A challan can’t be billed twice.

In Accura: Challan → Bill it

Sales book, VAT 13 % and his udharo — and the stock leaves your books.

    • Stock out
    • Sales book · VAT 13 %
    • Udharo +
    • Credit limit checked
  5. His account

Bill-wise udharo with a due date

The bill sits on his account with its due date from his credit days; the advance he paid is taken off. Every bill stays separate, the way your old khata had it.

    In Accura: Outstanding

Who owes what, bill by bill, and since when.

    • Udharo +
  6. Month end

    A post-dated cheque, then cleared

His cheque settles the oldest bills and waits in Cheques in Hand until the bank clears it. A bounced cheque goes back on his account as a new bill.

    In Accura: Cheques

Deposit, clear or bounce — each one posted for you.

  7. Every week

    Ageing — and a reminder

Not due, 0–30, 31–60, 61–90 and 90+ days for every contractor. Send a reminder in Nepali from your own WhatsApp or Viber.

    In Accura: Ageing

Built on the same bills as Outstanding, so the totals always match.

A day at a hardware shop

From shutter up to the VAT return — where Accura fits each part of the day.

One example shop: Shrestha Hardware & Suppliers in Kalanki, with a shop floor, a godown and a few contractors on credit. Your day will have different names and numbers; the shape is the same.

The people in this story

  • Suresh ShresthaOwnerOpens the shutter. Wants to know who owes what.
  • AnitaCashierRuns the counter through the rush.
  • BikashStorekeeperLooks after the godown and the deliveries.
  • KamalaAccountantComes in twice a month. Files the VAT.
  • Dipak GurungContractorGurung Builders — buys on credit for three sites.

An example shop — the names and figures are illustrative.

08:30Morning, 8:30

Suresh · Owner

The day starts with what needs you — not with the khata.

Suresh opens Accura on the counter PC while the shutter goes up. OPC cement is below its reorder level on the shop floor. One of Gurung Builders’ bills is past 30 days. Yesterday’s drawer was counted and came up Rs 100 short. Each line opens straight into the thing itself.

11:00Late morning, 11:00

Anita · Cashier

Scan, pick the pack, print — next customer.

Ten bags of cement, a bundle of 1-inch pipe, two kilos of nails. Anita scans what has a barcode and types the rest; Accura knows a bundle is ten lengths and has its own price. VAT 13 % and round-off are worked out, the bill is over Rs 10,000 so it is a full TAX INVOICE with the buyer’s name, and it prints on the 80 mm printer with the amount in words.

13:15After lunch, 1:15

Dipak Gurung · Contractor

The contractor’s order goes on udharo — inside his limit.

Dipak wants rods and cement for his Thankot site on credit. Accura shows what Gurung Builders already owes, bill by bill, and how old each bill is. The new bill fits inside the Rs 20 lakh limit, so it goes through; one that didn’t would be stopped at the counter. When he pays, the receipt is set against his oldest bills first.

14:30Afternoon, 2:30

Bikash · Storekeeper

Forty bags from the godown to the shop floor — on record.

The floor is down to six bags. Bikash moves forty bags of OPC, thirty of PPC and two bundles of rod from the godown to the shop floor. The transfer is numbered and moves the stock at average cost, so the counter now shows 46 bags here and what is left in the godown.

16:00Afternoon, 4:00

Bikash · Storekeeper

The cement truck arrives — and so does its bill.

Four hundred bags from Shivam Cements. Bikash enters the supplier’s bill with their PAN, so the input VAT counts. The Rs 6,000 freight goes into the cost of the cement — Rs 775 a bag landed, not 760. What the shop owes Shivam shows under payables, due in 30 days.

Anita · Cashier

Count the drawer before the shutter comes down.

Anita counts the notes and coins: Rs 84,520 in the drawer, Rs 84,620 by the books. The Rs 100 difference is recorded — with her remark, “change given twice” — instead of quietly disappearing. QR and bank payments are already in their own ledgers, so only the cash is counted.

Kamala · Accountant

The accountant files the VAT — without a bag of bills.

Kamala signs in with her own Accountant login. Bhadra’s sales book and purchase book are already there, month by month in BS, with cancelled bills at zero. The VAT summary takes output VAT, input VAT and any credit carried in, and “Pay VAT to IRD” fills in the payment. Her Day Book and Trial Balance are the ones she knows from Tally.

Sell online

Your website takes orders — even made-to-measure ones

  • Cement and rods to order; grills, doors and gates priced per sq ft or on request.
  • The buyer picks size, design and finish and sees an estimate with VAT.
  • Their mobile is confirmed with a code — no fake requests.
The buyer’s page on the shop’s website: a made-to-measure item 5 × 4 ft with a chosen design and finish, 4 pieces, with an estimate of Rs 39,595 including VAT.
Sample data What the buyer sees — choose the size and design, see an estimate, send the request.

Online requests

Send a price, they confirm, it becomes an order

  • Each request lands in Orders & challans → Online, and you get an email.
  • Send a price offer filled in from what they chose; message them on the same page.
  • When they confirm, it is a normal sales order — take the advance, make it, deliver, bill.
An online request in Accura: a made-to-measure item with its size and finish, the delivery address, the price offer of Rs 18,080 with 50 % advance, and the buyer’s confirmation as a sales order.
Sample data A request — send a price offer, message the buyer, and it becomes a sales order when they confirm.

Make to order

Know what a grill door really costs before you make it

  • A recipe per product: pipe, sheet, rods, paint, hinges and labour.
  • Make 2 → the materials leave the godown, the doors come in at their full cost.
  • Short of a material? It tells you before you start.
Making two products in Accura: the materials taken from the godown, labour Rs 7,000, a cost of Rs 14,500 each against a selling price of Rs 28,000.
Sample data Make products — the recipe fills the materials; you see the real cost before you make it.
