Pharmacy & medical

For the pharmacy: every batch, every expiry date — and a fast counter.

Sell by the strip or the box, keep each batch and its expiry from the supplier’s bill, and see what runs out of date in time to return it or sell it first.

Figures show a sample pharmacy.

How a pharmacy day flows in Accura

Every strip in by batch — and nothing sold past its date.

A sample day at Sunrise Pharmacy, Traffic Chowk, Butwal: the supplier’s bill, the counter, a regular patient, the weekly expiry check.

  1. The supplier’s bill

Every line with its batch and expiry

Lumbini Pharma Distributors’ bill: amoxicillin by the strip, syrup by the bottle — each line with its batch number and expiry date. Medicines without VAT are marked exempt once, on the item.

    In Accura: Purchase

Stock in by batch; input VAT only on the taxable lines.

    • Stock in
    • Batch + expiry
    • Purchase book · input VAT
    • You owe the supplier
  2. The counter

    A tablet, a strip or a box

Three strips of paracetamol, a cough syrup, two ORS. Sell by the tablet, the strip of 10 or the box — each at its own price. Nobody types a batch at the counter.

    In Accura: Counter sale

Exempt lines stay out of VAT; the bill still carries its IRD number and BS date.

    • Stock out
    • Sales book · VAT 13 %
    • Cash
    • Bank / QR
  3. Regular patients

    Monthly medicines on udharo

Bhim Bahadur takes his monthly medicines on credit, inside his limit. When it’s due, a reminder goes from your phone.

In Accura: Counter sale → Credit (udharo)

Bill-wise udharo with a due date; the counter refuses a bill past the limit.

    • Credit limit checked
  4. Every week

    Expiring soon

Amoxicillin batch AMX2107 has five days left — 180 tablets, Rs 1,530 at cost. The oldest expiry is always counted as sold first, so the list is right without anyone counting.

    In Accura: Expiring soon

Batches expiring in 7, 30 or 90 days, valued at cost.

    • Batch + expiry
  5. Short-dated stock

Return it, or write it off

Send short-dated stock back with a debit note against the supplier’s bill — or throw out an expired batch with the reason “expired”.

In Accura: Purchase → Return to supplier · Items → Batches

A return reverses stock and input VAT; a write-off leaves stock with its reason, and the loss shows in the P&L.

    • Stock out
    • Purchase book · input VAT
    • Profit & loss
  6. Month end

VAT with exempt sales split out

Taxable and exempt sales are separated by themselves; VAT to pay or to carry forward; the sales and purchase books by BS month for IRD.

In Accura: VAT & IRD books

Everything comes from the bills — nothing to add up by hand.

    • VAT return figures

  7. Night

    Close the day

Count the drawer note by note; QR and card are already in their own ledgers.

    In Accura: Close the day

Any difference is recorded with a remark.

Running alongside

  • A patient returns a strip

A credit note against their bill: stock back, VAT reversed, refund or off the next bill.

  • Count the shelves by scanning

Only what you count changes, with a reason — counted, damaged, expired.

  • Staff salary, SSF and TDS

Pay sheets by BS month, advances, SSF and TDS — private from the counter.

  • Billing through a power cut

A registered counter PC keeps billing offline and syncs when the internet is back.
